let’s build it right the first time.
OUR PROCESS
getting started
Project Inquiry. The first step is to reach out via the contact form, email, or phone. Tell us about:
Project type
Size/scope
Timeline
Trades involved
Current pain points
1
Consultation. We’ll set up a 10-20 minute consultation to better understand your project needs, the project complexity, current coordination status, and team structure.
2
Collect info. You send contract drawings, project specifications, construction schedule, and any other helpful information that will aid in the project assessment.
3
Project assessment. We dive into the specifics of your project, reviewing drawings, identifying high-risk zones, coordination complexity, and defining meeting cadence, coordination workflow and deliverables.
4
Proposal for Services. After we receive drawings and information, within 24 hours, we will deliver a detailed Proposal for Services, outlining scope of services, cost structure, timeline, and inclusions.
5
Contract execution. Once we align on scope and deliverables, and the contract has been executed, we immediately move into kickoff — aligning teams, setting expectations, and preparing your project for seamless coordination.
6
GET NOTORIOUS ABOUT COORDINATION
vdc management + leadership
Project Setup & Standards. We review drawings, scope and construction schedule to determine our plan of action.
1
BIM Execution Plan. We create and implement this live document to guide coordination workflows and trade participation through out the life of the project
2
Model Aggregation. Intake of existing design models, compile trade models, and align files into a 3D federated model.
3
Clash Detection. We create specialized clash tests based on your scope, real-world install conditions, and high-risk areas.
4
Coordination Meetings. We lead weekly or biweekly coordination meetings, walking teams through issues and driving clear resolutions.
5
Issue Tracking & Resolution. Clashes are logged, assigned, and tracked through the model and issue report, making sure nothing slips through the cracks.
6
Escalating conflicts. Issues that require design team input are presented to the design and project team, explaining the issue and suggesting feasible solutions.
7
Model Updates & Validation. We verify that all resolved issues are properly reflected in updated models before moving forward.
8
Sign-off & Model Delivery. At the end of each phase, we deliver sign-off drawings to the project team and field teams for field installation. Final models are turned over at the end of coordination.
9
trade coordination (mep+site)
Scope Alignment. We review each trade’s scope, drawings, and models to understand system requirements and identify potential overlaps and conflicts.
1
Model Integration. We create the trade model from contract drawings and design models, aligning with the shared coordinate system.
2
Internal Trade Review. The model is reviewed for completeness, verifying submittal specific equipment and material, routing preferences, and meeting vital clearance requirements.
3
Multi-Trade Clash Detection. We identify and work through conflicts with other trades, focusing on practical and buildable solutions.
4
Coordination Meetings. We represent your trade at coordination meetings, actively participating in issue resolution and driving decisions that benefit the overall project.
5
Sign-off and Installation Drawings. Once all issues are resolved, and coordination is complete, we issue detailed installation drawings to be used in the field.
6
constructability reviews
Drawing & Model Review. We analyze design documents and early design models to identify gaps, conflicts, and coordination risks.
1
High-Risk Area Identification. We focus on congested spaces, critical paths, and areas where multiple systems intersect.
2
Install Feasibility Check. We evaluate whether systems can actually be installed as designed—considering clearances, access, and sequencing.
3
Clash & Conflict Analysis. We run targeted clash detection to uncover issues that may not be obvious in drawings alone.
4
Tag & Track Issues. We tag issues in the model, designating location, impact, and responsible trade. During the next design iteration, we are able to quickly identify if the problem was resolved.
5
Constructability Report. We create a detailed report identifying conflicts, potential areas of concern, and providing clear, actionable, and feasible solutions.
6
Model Fly-Through. We fly-through the model with design team and project team to present our findings and make sure we are aligned on resolutions. After the full constructability process, the project is ready to move into active coordination.
